WHAT WE BUILD

What We Build

  • Chatbots and assistants that answer customer and staff questions from your own documentation and data.
  • Document and data extraction that turns forms, invoices and emails into structured, usable data.
  • Workflow automation that takes repetitive, rule-based steps off your team.
  • AI features inside your existing products — search, summarisation, recommendations and similar.
  • Predictive models for forecasting demand, risk or other operational signals, where the data supports it.

We are honest when AI is not the right tool for a problem. A simpler, cheaper fix is sometimes the better answer, and we will tell you so.

HOW WE KEEP IT SAFE

How We Keep It Safe and Useful

  • Your data stays protected. We design AI features with UK GDPR in mind, and only use the data a feature actually needs.
  • A human in the loop where it matters. For decisions that affect customers, money or compliance, AI suggests and a person approves.
  • Pilot first. We build a small, focused version, measure whether it saves time or improves outcomes, and only then roll it out further.
  • No model lock-in. We pick the model that fits the task and your budget, and explain the trade-offs rather than defaulting to one vendor.

WHERE AI HELPS

Where AI Actually Saves Time

The best AI projects start with a task your team already does every day, not with a model. These are the patterns we see work, and the part a person should keep:

Task todayWhat AI can doWhat a person still does
Answering the same customer or staff questionsAn assistant answers from your own documents and policies, with links to the sourceReviews unanswered questions and keeps the documents up to date
Re-typing data from invoices, forms or emailsExtracts the fields into your system and flags low-confidence onesChecks the flagged items
Sorting and routing incoming requestsClassifies each request and sends it to the right queueHandles the exceptions
Writing first drafts of reports or repliesDrafts from your data and templatesEdits and approves before anything is sent
Forecasting demand or spotting riskA machine learning model trained on your historyDecides what to do with the forecast
Searching across scattered knowledgeSearch that understands questions, not just keywordsOwns the content being searched

AI CONSULTANCY

AI Consultancy: Deciding What Is Worth Building

Not every business needs an AI strategy document. Most need a clear answer to three questions: which tasks are worth automating, is our data good enough, and what could go wrong? Our AI consultancy work answers those in plain English:

  • Use-case review. We look at where time goes in your team, and rank the candidates by value, feasibility and risk.
  • Data check. We look at what data each candidate needs, where it lives, how clean it is, and whether personal data is involved.
  • Build, buy or wait. Sometimes an AI feature in a tool you already pay for does the job. Sometimes the honest answer is that the data isn't ready yet.
  • A pilot plan. For the best candidate: what we would build, how we would measure success, and the point at which to stop or continue.

The output is a short written recommendation you can act on with us or with anyone else.

MODELS & ARCHITECTURE

Choosing Models and Architecture

We choose the simplest approach that does the job reliably:

  • Hosted large language models from the major providers are usually the fastest way to add assistants, summarisation and drafting. We check each provider's data terms, including whether your data can be used for training and where it is processed.
  • Retrieval-augmented generation (RAG) is how an assistant answers from your documents: it searches your content first and answers from what it finds, with references, instead of relying on what the model happens to know.
  • Open-weight models you host yourself make sense when data must not leave your environment, or when volumes make hosted pricing expensive.
  • Classic machine learning is still the right tool for forecasting, scoring and anomaly detection on structured data, and is often cheaper and easier to explain than a language model.
  • Fine-tuning is rarely the first step. Better instructions, better retrieval and better data usually come first.

Whatever we build, the model sits behind an interface we control, so it can be swapped when a better or cheaper option appears.

DATA PROTECTION & UK RULES

Data Protection and the Rules That Apply

AI features are still data processing, so the usual UK rules apply:

  • UK GDPR and the Data Protection Act 2018 cover any personal data an AI feature uses. We identify the lawful basis, minimise the data sent to a model, and help you complete a data protection impact assessment where the processing is high-risk.
  • Automated decisions. Where an AI output could significantly affect a person, such as a credit, hiring or eligibility decision, a person should review it, and people should be told how decisions are made.
  • Suppliers. Model providers act as processors or sub-processors, so their contracts, data locations and retention settings need checking before any personal data is sent.
  • Selling into the EU? The EU AI Act can apply to AI systems used in the EU, even when the provider is UK-based. We flag this early if it affects you.

The Information Commissioner's Office (ICO) publishes guidance on AI and data protection; we design to it rather than around it.

MEASURING RESULTS

How We Measure Whether It Works

An AI feature that "seems good in the demo" is not the same as one that works on your real data. Before a pilot starts, we agree:

  1. The measure of success, such as minutes saved per request, the share of forms processed without correction, or questions answered correctly.
  2. A test set of real examples with known right answers, so every version is scored the same way.
  3. A review sample, where a person checks a proportion of live outputs each week.
  4. The running cost per task, so the saving can be compared with what it costs to run.
  5. The stop point: what result would tell us the idea isn't worth continuing.

After launch we keep monitoring quality and cost, because models, prompts and your data all change over time.

DELIVERY METHODOLOGY

A Structured, Risk-Aware Process

We keep AI projects small and measurable, rather than open-ended:

Phase 01

Discover

We learn which task is slow or error-prone today, and whether AI is genuinely the right fix.

Phase 02

Pilot

We build a small, working version against real data, so you can judge the value before committing further.

Phase 03

Build

We build the full feature in short stages, with a person checking the important decisions.

Phase 04

Support

We monitor how the feature performs in practice and keep it working as your data and needs change.

FREQUENTLY ASKED QUESTIONS

Frequently Asked Questions

Practical answers on cost, data safety and how AI projects actually run.

How much does an AI project cost?
Most projects start with a small, focused pilot so you can see the value before committing further budget. After a short discovery call we give you a clear scope and a fixed quote.
Which AI models do you use?
We choose the model that fits the task, your budget and your data requirements, and explain the choice. We are not tied to a single provider.
Is our data safe?
We only use the data a feature actually needs, keep access limited, and design with UK GDPR in mind. We will explain exactly where your data goes before any work starts.
Can you add AI to software we already have?
Yes. Most of our AI projects add a feature to an existing system rather than building something new from scratch.
Who owns the code and models you build for us?
You own 100% of the code, integration work and any custom-trained models from day one, with full access to the repository.
How long does a pilot take?
A focused pilot typically takes a few weeks. We agree what "working" looks like before we start, so there's a clear point to decide whether to continue.
What is the difference between AI consultancy and AI development?
AI consultancy decides what is worth building — which tasks suit AI, whether your data supports them, and what the risks are. AI development builds and runs it. We do both, and a consultancy phase often ends with a pilot rather than a slide deck.
Do we need a lot of data to use AI?
Not always. Assistants that answer from your documents and tools that extract data from forms can work with the documents you already have. Predictive models are different; they need a reasonable history of reliable data, and we will tell you honestly if yours isn't there yet.
